Overview
This national child welfare leader is one of the country’s most trusted names in the care of America’s children. For more than a century, the organization has provided innovative child and family care, healthcare, and ground-breaking research, all rooted in the belief that every child deserves to be valued, loved, and given the chance to live a healthy, positive life. To better support its research-based programs and healthcare offerings, the organization needed a technology system to transform its operational processes and set it up for success for generations to come.
The Challenge
The organization’s work has expanded over the years, from providing child and family care to include research-based programs and a hospital. It has also grown its geographic footprint from a single square mile established in the early 1900s to multiple locations across multiple states. With this growth comes volumes of sensitive data that need the proper architecture, processes, and systems in place for the organization’s 3,000+ employees to keep children and families’ data secure and readily available when it is needed for things like background checks, healthcare records, and more.
The organization chose Workday for its full platform solution including Human Capital Management (HCM), Payroll, Finance, and Supply Chain Management (SCM). The timing of a separate but interdependent project to deploy the Epic medical records system necessitated a unique deployment strategy for Workday.
The Solution
To successfully move the organization over to Workday, CrossVue and the organization took a strategic approach knowing the implementation would be a multi-year, multi-phase project. Phase one involved implementing SCM first, which started by building an integration to the Epic medical records system. CrossVue prototyped and built the Epic integration in approximately six weeks, an extremely quick turnaround for a pivotal piece of the SCM implementation. CrossVue then established the core elements of HCM, Finance, and Payroll to satisfy interdependencies with Procurement, Suppliers, and Inventory, all core elements of SCM.
With these core elements of HCM, Finance, and Payroll already set, phase two of the organization’s Workday implementation for HCM, Finance, and Payroll was seamless.
Another key element of the Workday deployment was leveraging Workday Prism to replace the organization’s homegrown solution to track a complex array of background check requirements. As a nationwide organization, it adheres to multiple state and federal regulations for background checks on foster parents, drivers, and caretakers of the children it supports. CrossVue and the organization leveraged Workday Prism to build a custom solution that collates and coordinates background checks with the proper state and federal regulations and timelines, ensuring the checks are done in a timely and secure fashion.
The Impact
With the completion of both phases of its Workday deployment, the organization now has a modern, cloud-based, mobile-first system that is a huge upgrade in capabilities for the entire organization. Workday’s automation features increase the speed and efficiency with which the organization operates, and it can maximize its energy and focus on providing critical services for America’s youth and families. Switching to Workday is a generational technology change, and the organization is excited to use the full platform for years to come.
