VHC Health™ Improves Patient and Employee Experience with Workday Implementation

Overview

As Virginia Hospital Center grew and rebranded to VHC Health™, the 453-bed not-for-profit teaching facility and Magnet® hospital decided to shift to Workday to modernize their processes and move off an almost 25-year-old, on -premise system. The community health system wanted the all-encompassing solution of Workday so they could have best-in-class HCM and financial systems, continuously improve their supply chain functionality, and leave antiquated paper processes behind.

The challenge

VHC Health knew that to be the best health system for patient care and best workplace in the Washington DC metro area, they needed to modernize their HR, finance, and supply chain processes and systems. They chose Workday as the replacement technology because it would provide them with vastly improved supply chain functionality and provide VHC with better financial control. As a cloud-based system that’s continuously improving, Workday also helps lay the foundation for VHC’s own continuous growth as they focus on bringing community-centered, top-quality medical care closer to where patients and families live.

The solution

CrossVue started the Workday implementation with VHC Health in 2022 and leveraged their unique approach to the Workday implementation methodology, CrossVue Complete.

CrossVue Complete includes consultative services throughout implementation and post go-live support that focuses on change management and includes extensive training. During the 20-month Workday implementation, the CrossVue team partnered with VHC Health to fill in gaps, answer questions, provide guidance, and at times provide staff augmentation, all of which led to a successful deployment.

In addition, CrossVue knows how critical it is to have Workday in place for financial control and supply chain management, especially for acute healthcare organizations like VHC Health. They needed to closely manage the supply chain to ensure their staff would have what they needed, when they needed it, and that financial control of inventory was always visible and on budget. To ensure better financial control, improved supply chain functionality, and a seamless transition to the new HCM system, CrossVue tested over 2,800 scenarios in end-to-end testing, built 85 custom reports, and deployed 107 new integrations. The CrossVue team also developed over 100 quick reference guides, training courses, and bite-sized videos to help VHC employees seamlessly onboard onto Workday, with as minimal disruption to their daily work as possible.

The impact

With the new Workday system in place, VHC Health is already seeing tremendous impacts like increased automation for previously manual processes. In the area of supply chain in particular, automated processes are helping them achieve their financial goals, helping the staff know how much inventory has been used, and how much they need to order.

Workday has also provided VHC Health the ability to manage all worker types in one location, drive system access based on one source of worker, and it offers their employees and managers more self-service options which frees up the HR, Benefits, and Payroll team to be more strategic and ultimately, focused on the patient experience.

VHC Health will continue partnering with CrossVue on their Workday application as they plan to deploy additional Workday attributes and continuously optimize their system for years to come.
